Marketing & Communications Project Requests

East Central ISD Marketing & Communications supports campuses and departments with strategic communication, storytelling, website management, photography, videography, writing, publications, media relations and social media.

Our goal is to help you reach the right audience through the right communication channel while maintaining consistent district branding, messaging and quality.

Before You Submit

Marketing & Communications is a two-person department serving the entire district. Requests are scheduled and prioritized based on districtwide needs, strategic priorities, deadlines, project complexity and available staff time.

Submitting a project request does not guarantee a specific communication channel, service, deliverable or completion date. Marketing & Communications may recommend a different format or approach based on the audience, purpose and communication need.

Emergency communications, safety-related needs and other time-sensitive district priorities may require existing projects to be delayed or rescheduled.

Our Communication Channels

Marketing & Communications uses a variety of communication channels to reach ECISD audiences. The appropriate channel depends on the purpose, audience, urgency and type of information being shared.

Website

ECISD websites are one of the district's primary sources for official, detailed and lasting information.

Marketing & Communications can assist with existing webpage updates, new webpages, news stories, files, links, calendars and other website content.

Placement on the ecisd.net homepage, including rotating banners and News/Announcements, is determined on a case-by-case basis. Depending on the request, content may instead be placed within an existing district department section or campus website.

Estimated timelines:
Simple updates: approximately 3 business days
New webpages: approximately 5–10 business days
Larger website projects: approximately 15–30 business days

Social Media

Social media is one of the primary ways ECISD shares stories, timely information and opportunities with families, students, employees and the broader community.

Each platform serves a different audience and purpose:

  • Facebook: Families, parents and community members
  • Instagram: Students, families and visual storytelling
  • X: News, timely information, media and community stakeholders
  • LinkedIn: Professionals, employees, recruitment and careers
  • YouTube: Video features, district storytelling and archived video content

Marketing & Communications may assist with requests to post on official district accounts, social media campaigns, account creation and digital advertising.

Our Social Media Approach

District social media should tell stories about people, programs, opportunities and experiences—not simply function as a digital bulletin board.

Marketing & Communications generally does not post flyers to district social media accounts. When promoting an event or opportunity, we prefer to use a strong photograph connected to the program, school, event or previous activity, with important event information included in the caption.

Marketing & Communications also does not post promotional artwork created directly by generative AI. Public-facing district content should reflect authentic ECISD students, staff, programs and experiences whenever possible.

Paid social media or digital advertising may be considered when appropriate. Advertising costs are the responsibility of the requesting campus or department unless otherwise approved.

Recommended notice: At least 5 business days for individual posts and 10–20 business days for campaigns or larger projects.

Email, Text & Phone Notifications

ECISD uses its mass notification system for important district and campus communications, including emails, text messages and automated phone calls.

Mass notifications are used when the importance, urgency or audience of the information warrants direct communication. Not every event, program or announcement is appropriate for a districtwide or campuswide email, text message or phone call.

Marketing & Communications will determine the appropriate channel and audience based on the purpose and urgency of the request.

Media Relations, Story Pitches & News Releases

Marketing & Communications manages district communication and coordination with local, state and national news media.

Potential stories are evaluated for media outreach based on newsworthiness, timeliness, audience interest, visual opportunities and whether the story highlights something distinctive about ECISD.

Human-interest stories, student and staff accomplishments, unique programs, major initiatives and strong visual opportunities generally provide the best opportunities for earned media coverage.

Submission of a request does not guarantee a news release, media pitch, interview or media coverage.

District Newsletters & Internal Communications

Marketing & Communications may feature campus, department, student and staff stories through district newsletters and other internal communication channels.

Stories are selected based on relevance, timeliness, available space and their value to the broader district audience.

Creative Services

Marketing & Communications provides creative services that support district priorities and help tell the ECISD story. Availability and timelines depend on project scope, district priorities and staff capacity.

Photography

Photography should help tell the story of East Central ISD and may include classroom learning, student activities, fine arts, athletics, career and technical education, special programs, awards, recognitions, celebrations and major district events.

During Work Hours

Marketing & Communications may provide photography coverage for campus and department activities during normal work hours based on availability.

Routine meetings, staff meetings, trainings and committee meetings are generally not photographed unless they include a meaningful activity, major announcement, award or recognition.

After-Hours Events

After-hours photography may be requested but is not guaranteed. Coverage depends on district priorities, existing commitments and available staff manhours.

Photography Process

  1. Pre-production: Review the event, schedule, location and desired coverage.
  2. Photography: On-site coverage based on the approved scope.
  3. Post-production: Photo selection, cropping, color correction and editing.
  4. Delivery: Finished images are generally delivered within 5–10 business days after photography.

Marketing & Communications selects and edits the final images. RAW or unedited images are generally not distributed.

Headshots

Individual professional headshots are photographed by appointment at the Marketing & Communications Office only. The Superintendent's Office is the exception to this location requirement.

Recommended notice: 10 business days
Estimated delivery: 5–10 business days after the session

Group Photos

Marketing & Communications may travel to a campus or department for scheduled group photographs. Please provide at least 10 business days' notice whenever possible.

Videography

Video production is available on a case-by-case basis and is intended primarily for strategic district storytelling, major programs, student and staff features, recruitment, campaigns and other high-impact communication needs.

Standard Marketing & Communications videos must have a finished running time of no more than two minutes so they remain appropriate for digital and social media audiences.

Video Production Process

Pre-production: Concept development, scheduling, scripting, interview planning, locations and logistics.

Production: Interviews, activities, B-roll and other required filming.

Post-production: Reviewing footage, editing, graphics, audio, music, captions, color correction and final export.

Even a short finished video may require multiple filming sessions and significant editing time.

Typical overall timeline: Approximately 20–30 business days from an approved concept to final delivery. More complex projects may require additional time.

One reasonable round of revisions is generally included. Major changes to the concept, script, participants or project direction after filming begins may extend the project timeline.

Writing & Copy

Marketing & Communications can assist with media releases, website stories, letters, emails, talking points, scripts, informational copy, social media captions and other district communications.

Please provide complete and accurate background information, names, dates, statistics, links and other facts needed to develop the content.

Estimated timeline:
Short-form copy: approximately 3–5 business days
Larger writing projects: approximately 5–10+ business days

Publications & Design

On a case-by-case basis, Marketing & Communications may create one-pagers, flyers, brochures, postcards and similar informational materials.

Marketing & Communications may also assist with coordinating production through district-approved vendors when appropriate.

There is no charge for Marketing & Communications staff time; however, printing, mailing, specialty production and other outside vendor expenses are generally the responsibility of the requesting campus or department.

Simple one-pagers or flyers: approximately 10–15 business days
Brochures or larger projects: approximately 15–20+ business days

How Requests Are Prioritized

When multiple requests compete for the same staff time, projects may be prioritized in approximately the following order:

  1. Emergency and safety communications
  2. Superintendent and Board of Trustees communications
  3. Districtwide strategic priorities and initiatives
  4. Legal, regulatory and required communications
  5. Student achievement and instructional programs
  6. Recruitment and retention initiatives
  7. Community engagement
  8. Campus and department projects

Timelines are estimates and may change based on project complexity, district priorities, staff availability and the completeness of information provided.

When submitting a project request, please provide as much information as possible, including:

  • The purpose of the project
  • Your intended audience
  • The desired outcome
  • Important dates and deadlines
  • Event date, time and location, when applicable
  • Final or approved factual information
  • Relevant links, documents, photos or resources
  • A primary point of contact
  • Any available budget for printing, advertising, mailing or outside vendor costs if applicable.

Missing information, significant revisions or changes to the project after work begins may extend the timeline.

Brand & Communication Standards

Marketing & Communications is responsible for maintaining district brand and communication standards. We may adjust wording, layout, photography, graphics, format, communication channels or other elements to ensure materials align with ECISD standards and effectively serve the intended audience.

Do not publish, print or distribute final public-facing materials before required review and approval are complete.
